Requirements for data returns

This page is intended to provide a summary overview and reminder of upcoming deadlines. More detailed information and requirements for data returns can be found in the letters that we send to providers:

We wrote to providers on 13 October 2023 outlining an extension to the 2022-23 Student (Data Futures) return, the 2021-22 Graduate Outcomes Cohort A contact details, and the 2024 NSS contact details return. 

We wrote to providers on 13 November 2023 outlining an extension to HESES return for some providers, as well as further details in relation to the 2022-23 Student (Data Futures) return, the 2021-22 Graduate Outcomes Cohort A contact details and the 2024 NSS contact details return.

These communications relate specifically to registered providers required to submit the 2022-23 Student (Data Futures) record and not to any further education and sixth form colleges required to submit the Individualised Learner Record (ILR) to the Education and Skills Funding Agency.

Deadlines which vary by provider

Within five months and two weeks of a provider’s financial year end

Annual Financial Return

Registered providers (excluding further education colleges and sixth form colleges) need to submit financial data consistent with their latest audited financial statements, forecast financial and student number data, and other relevant contextual information, including signed, audited financial statements and the management letter from its external auditor. The data is used to monitor the financial viability and sustainability of providers.

Aligned with ESFA deadline

Individual Learner Record (ILR) data return

Registered further education and sixth form colleges need to submit details of individual students and the courses they are studying. The data underpins our regulatory approach, including metrics used to monitor condition B3 (student outcomes).

2023 deadlines

14 November

Staff record (2022-23)

You will need to submit demographic and contract information for academic staff governors. The data is used by the OfS, UK Research and Innovation (UKRI) and the Department for Education, to understand the academic and research workforce.

16 November

Aggregate offshore record (2022-23)

You will need to submit information about the number of students studying overseas who are either registered or studying towards awards. The data is used to understand the nature and extent of providers’ offshore activity and for general monitoring purposes.

22 November

Student (Data Futures) record (2022-23)

Your will need to submit details of individual students and the courses they are studying. This data underpins our regulatory approach.

Note: we have extended this deadline from 20 October to 3 November to recognise that this is the first year in which data will be submitted against the new data model. The deadline has been further extended to 22 November.

Graduate Outcomes Survey (2022-23): Cohort A – for providers that have completed the Student (Data Futures) record

You will need to submit and approve contact details for students who have completed their studies, who will then be surveyed.

National Student Survey (NSS) - for further education colleges and sixth form colleges

You will need to submit contact details for students who are on the target list. The data will be collected by contractors working on behalf of the OfS and other stakeholders. NSS data is used to inform student choice, as part of the Teaching Excellence Framework, and for general monitoring purposes.

National Student Survey (NSS) - for providers that have completed the Student (Data Futures) record

You will need to submit contact details for students who are on the target list. The data will be collected by contractors working on behalf of the OfS and other stakeholders. NSS data is used to inform student choice, as part of the Teaching Excellence Framework, and for general monitoring purposes.

Prevent accountability and data return

If you have received both a detailed assessment outcome and Prevent review meeting outcome by 1 August 2023, you will need to submit a set of declarations confirming that you have continued to show due regard to the Prevent duty. You will need to submit data on key areas of the Prevent duty: welfare, events and external speakers, and training.

11 December

Graduate Outcomes Survey (2022-23): Cohort A – for further education and sixth form colleges

You will need to submit and approve contact details for students who have completed their studies, who will then be surveyed. For further education and sixth form colleges, contact details will be sourced from the Individualised Learner Record (ILR) but will still need checking.

2024 deadlines

31 January

Higher Education Students Early Statistics survey 2023-24 – for further education and sixth form colleges*

You will need to submit data on the number of higher education students studying in the 2023-24 academic year. The data is used to inform funding allocations.

*For all other providers, the deadline has been extended to 29 February.

 

31 January

TRAC 2022-23

You will need to submit a Transparent Approach to Costing (TRAC) return that has been reviewed and approved, if you were required to submit a TRAC return for 2021-22. The data is used to understand the application of costs across activity, including cross subsidies in higher education. It is also used by UKRI and other public funders for funding purposes.

Higher Education – Business and Community Interaction survey (2022-23)

You will need to submit details of the volume and direction of interactions with business and the wider community. The data is used by UKRI to allocate Higher Education Innovation Fund funding and to generate metrics for the Knowledge Exchange Framework.

Graduate Outcomes Survey (2022-23): Cohort B

You will need to submit and approve contact details for students who have completed their studies, who will then be surveyed.

29 February (extended from 31 January)

Higher Education Students Early Statistics survey 2023-24 – for all providers excluding further education and sixth form colleges

You will need to submit data on the number of higher education students studying in the 2023-24 academic year. The data is used to inform funding allocations.

16 April

Capital monitoring 2023-24 – annual report

If you receive a formula capital allocation and/or competitive capital funding in financial year 2023-24 you will need to complete interim and annual reports. These provide assurance that the funding has been used for the purposes given, and evidence of the impact of the capital grant at individual providers.

We will publish further information about the annual report in spring 2024.

You will need to submit and approve contact details for students who have completed their studies, who will then be surveyed.

Provider profile (2023-24)

You will need to submit information about the location of your campuses and internal organisation. This allows the OfS and others to understand the geographic distribution of higher education.
